These Terms & Conditions (“Terms”) apply to all tickets, registrations, and participation in any GXC Event, including in-person conferences, online events, and on-demand content. By purchasing a ticket, registering, or attending any GXC Event, you agree to be bound by these Terms.

1. Definitions

In these Terms:

  • “We,” “Us,” “Our,” and “Exchange Events” mean GXC Events, GXC Live, GXC Online, GXC On Tour, and GXC On Demand.
  • “You” and “Your” mean the attendee, ticket holder, registrant, or participant in any GXC Event.
  • “Event” means any conference, seminar, webinar, training session, workshop, or related activity organized by GXC Events.
  • “Ticket” means any purchased or complimentary pass granting access to an Event.
  • “Content” means all event materials, including presentations, videos, recordings, photography, logos, and other intellectual property.

2. Scope of Agreement

These Terms apply to:

  • In-person attendance at any GXC Event.
  • Participation in online and hybrid events.
  • Access to any on-demand or replay content provided by GXC Events.

We reserve the right to update or amend these Terms at any time, with changes taking effect upon publication on our website.

3. Access to Events and Services

3.1 We make reasonable efforts to ensure uninterrupted access to Events and related platforms, but access may be suspended, restricted, or terminated at any time without liability.
3.2 We reserve the right to change event details (including speakers, schedule, and format) without notice.
3.3 We assume no responsibility for third-party websites linked from our platforms.

4. Intellectual Property

4.1 All content provided at or in connection with an Event is owned by Exchange Events or our licensors and is protected by copyright, trademark, and other intellectual property laws.
4.2 You may not record, reproduce, distribute, or use any content without our prior written consent, except where expressly permitted (e.g., downloading authorized materials from an event platform).
4.3 GXC Events logos, brand names, and marks may not be used without permission.

5. Ticketing, Payment, and Refunds

5.1 All ticket sales are final unless otherwise stated. No refunds will be issued for non-attendance.

5.2 If you are unable to attend, you may request to transfer your ticket to another person or a future event. Subject to approval, a change fee of $25.00 shall apply. Please email admin@gxcevents.org with the subject: GXC Events Transfer Request and include details of your purchase and reasons for transfer.

5.3 All prices are in USD unless otherwise stated. Taxes and fees may apply.

5.4 We reserve the right to refuse or cancel any registration at our discretion.

5.5 No refunds will be offered for any purchases of instant access recordings unless the purchaser can prove they have not downloaded any of the content.

6. Code of Conduct and Prohibited Activities

6.1 You agree to conduct yourself professionally and respectfully during all Event activities, whether in person or online.
6.2 Harassment, discrimination, abusive behavior, or disruption will not be tolerated and may result in removal from the Event without refund.
6.3 You may not:

  • Record or livestream sessions without permission.
  • Access platforms through automated tools or scripts.
  • Post illegal, defamatory, obscene, or infringing material in any event forum or chat.

6.4 Online Platform Behavior. When participating in online or hybrid events, including chatrooms, Q&A sessions, breakout rooms, or networking areas, you agree to:

  • Keep all discussions relevant to the session or event topic.
  • Avoid sharing spam, advertising, or promotional content unrelated to the Event.
  • Refrain from posting offensive, discriminatory, or inappropriate material.
  • Respect the privacy of other participants and do not share their personal details without consent.
  • Follow any moderator or host instructions to maintain a safe and productive environment.

We reserve the right to remove any online posts, comments, or participants who breach these guidelines.

7. Liability and Disclaimers

7.1 We make reasonable efforts to ensure event information is accurate, but we do not guarantee it is free from error.
7.2 To the fullest extent permitted by law, Exchange Events shall not be liable for:

  • Travel or accommodation costs incurred due to event changes or cancellations.
  • Loss of profit, revenue, or data.
  • Any indirect, incidental, or consequential loss.

7.3 Attendance at in-person events is at your own risk. You are responsible for complying with any venue safety requirements.

8. Third-Party Services and Sponsors

8.1 Events may feature sponsors, exhibitors, or other third-party providers. We are not responsible for their products, services, or actions.
8.2 Where you opt in, your registration details may be shared with event sponsors for marketing purposes. Please refer to our Privacy Policy for details.

9. Recording and Photography

9.1 We may photograph, film, or record Events. By attending, you consent to your image, voice, and likeness being used in GXC Events promotional materials without compensation.
9.2 Should you not wish to be recorded, please notify us in writing, and we will attempt to accommodate; however, we cannot guarantee exclusion from all recordings or any other media during our Events.

10. Termination of Access

We may remove you from an Event or block access to event platforms without refund if you breach these Terms or behave in a way that is disruptive, unsafe, or unlawful.

11. Compliance with Local Laws

If you access or participate in a GXC Event from outside the United States, you are solely responsible for ensuring that your participation complies with all applicable local laws and regulations in your country or jurisdiction. We make no representation that our Events or related materials are appropriate, permitted, or available for use outside the United States.

12. Governing Law

These Terms are governed by and construed in accordance with the laws of the State of Connecticut, USA. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Connecticut, and you agree to submit to the personal jurisdiction of such courts.

13. Force Majeure

We are not liable for any failure or delay in performing our obligations caused by circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, strikes, or venue closures.
